A Complete Event Story, Not a Photo Dump
Every corporate event has a beginning, a middle and an end. Our coverage is planned to capture that arc — so the images you receive work for post-event communications, annual reports, social media and sponsor recaps, not just an archive folder.
- Venue & Signage: The physical space, branding, stage setup and environmental details that establish where and why the event matters.
- Speakers & Presenters: On-stage moments, slide context, body language and expressions that communicate authority and engagement.
- Audience Reactions: Laughter, attention, applause, note-taking and the human energy that makes an event feel alive.
- Networking Moments: Introductions, business-card exchanges, candid conversation and the informal connections that define professional gatherings.
- Sponsor Recognition: Logos, signage, branded displays and sponsor-acknowledgment moments documented intentionally, not incidentally.
- Organized Group Shots: Planned group photographs of leadership, committees, awardees or full-attendee groups at a designated time during the event.
The result is a coherent visual record your team can actually use — organized by event segment, not dumped into a single unfiltered folder.
How We Tell an Event Story
The sequence below shows how images from a single Columbus corporate event build a complete visual narrative — from venue arrival to closing reception.
Coverage Planning, Duration and Logistics
Every event engagement begins with a coverage plan. Before the event date, our Client Services team aligns on the schedule, priority moments, room layout and deliverable expectations — so the photographer arrives knowing exactly what needs to be captured.
Duration and Minimum
All event coverage begins with a two-hour minimum. Half-day and full-day packages are quoted based on event duration, number of sessions or rooms, and shot-list complexity. Multi-day event coverage is available — contact us for a custom quote.
Schedule Coordination
We work from your event run-of-show and flag time slots for group photography so attendees are directed efficiently. For multi-room events, coverage priorities and room sequencing are confirmed in advance.
Custom Quote Process
Submit your event details using the form below — including date, location, duration, number of attendees and any specific coverage requirements. We'll respond with recommended coverage and a project investment.
Image Delivery: Organized, Labeled and Ready to Use
After your event, the production team completes selection, retouching and delivery according to the timeline in your proposal. You'll receive images that are named, organized and formatted for the platforms you actually use.
What's Included in Your Delivery
- Organized file structure: Images delivered in clearly labeled folders by event segment (e.g., Keynote, Networking, Awards, Group Shots) so your team can find what they need.
- Consistent retouching: Each selected image is finished to a consistent standard — exposure, contrast and color balanced for professional use.
- High-resolution and web-optimized files: Full-resolution originals plus web-ready versions for social, digital publishing and internal communications.
- Business usage rights: Images are licensed for your company's internal and external commercial use as specified in the proposal.
Delivery Timeline
Delivery timelines are confirmed in your proposal before the event date. For events with urgent post-event communications needs, discuss your deadline during the planning call and we will confirm whether priority delivery is available for your project.
Rush or same-day delivery is not a standard service. All timelines are set by mutual agreement in the proposal.
Corporate Event Photography — Frequently Asked Questions
Planning an event with photography coverage? Here are the questions Columbus event and marketing teams ask most before booking.
How far in advance should we book event photography?
Corporate events often have fixed dates and limited flexibility. We recommend contacting us as early as possible — ideally four to eight weeks before the event — to confirm availability and allow time for planning. For major conferences or galas, earlier is better. Submit your event details through the quote form to check our calendar.
What information do you need from us before the event?
Before the event we'll ask for the run-of-show or agenda, the venue address and contact, a shot-priority list (we provide a template), speaker and honoree names, any sponsor recognition requirements, and your delivery deadline. The more detail we have, the better the coverage plan.
Do we need to provide a shot list?
A shot-priority list is strongly recommended. It ensures the most important moments — specific speakers, award presentations, sponsor logos, group shots — are captured intentionally.
Can you cover a multi-room or multi-session event?
Yes. For events with concurrent sessions or multiple rooms, we establish coverage priorities in advance and determine whether a single photographer or a two-photographer team is more appropriate for the scope. Multi-room coverage is included in the custom quote process.
How are group photos handled during a live event?
Group photography works best when it's scheduled into the event program — for example, immediately after a session, during a break, or before the room fills. We flag the ideal time slots during planning so your MC or event manager can direct attendees efficiently.
Can you photograph events outside Columbus?
Our primary coverage area is Columbus and Central Ohio. For events in surrounding areas, travel details and any associated fees are confirmed during the quote process. Contact us with your event location and we'll confirm availability.
What is the two-hour minimum, and what does it include?
All event photography bookings require a two-hour minimum. This covers photographer time, equipment, travel within the Columbus metro area and standard post-production for the images covered during that period. Half-day, full-day and multi-session packages are quoted separately based on your event scope.
